Renewing your residence card: when the window opens and what it costs to miss it

The date printed on your residence card is not a reminder. Overstaying it — even briefly, even accidentally — can void your status, and it is one of very few mistakes in Japanese bureaucracy that is genuinely hard to undo.
It is also almost always avoidable, because it is a diary problem rather than a decision.
The window opens 90 days early
Immigration accepts an application to extend your period of stay from three months before it expires. That is the number worth putting in your calendar — not the expiry date itself.
The reason is that filing is the fast part. Getting a certificate of employment from your company, a tax payment certificate from city hall, and a slot at an immigration office that is not three weeks out — that is the slow part. People who start on the day the window opens are relaxed. People who start with three weeks left are not.
What you will generally need
Requirements vary by status of residence, so confirm yours, but most work-visa renewals involve:
- The application form for extension of period of stay
- Your passport and residence card
- A photograph meeting the current specification
- Proof of employment and income — certificate of employment, withholding tax slip
- Tax and residence certificates from your municipality
If your card expires while the application is pending
If you applied before your expiry date, you are generally permitted to remain while it is processed — for a limited period. This is precisely why applying early rather than late matters: the protection applies to applications filed in time.
The quiet risk: your passport
A lapsed passport can block a residence renewal, and many countries require six months of validity remaining to renew one. It is worth checking your passport expiry at the same time as your residence card, because the two deadlines interact and only one of them is printed on something you carry daily.
